Use case
For every new employee who joins your company, you'll need to onboard them onto your portal so they're part of your HRIS and, if relevant, your payroll. You can use this process for:
New employees on UK payroll
Directors on UK payroll
New joiners and payroll
When you onboard a new joiner and are adding them to payroll, there's a couple of things you'll need to keep in mind:
β
If you're onboarding a new joiner the same month as their start date, finalise their onboarding before you submit payroll for the month. Non-finalised accounts will block you from submitting payroll.
If you've already submitted payroll for the month and need to add a new joiner who is starting this month, get in touch with us at [email protected].
Same goes if you need to add a new joiner whose start date is last month - get in touch with us.
How to onboard an employee (on payroll)
1. Log in to your Onfolk portal
2. Go to the "People" tab, then click on "Add new starter"
3. Select "Invite employee"
4. Before kicking off the onboarding, make sure to know these details: name, email address, job title, salary and start date. You'll be able to edit them later on if needed.
5. Enter their full legal name and work email address.
Employees will be able to add a preferred name and add a personal email address too as part of their onboarding.
Add their job title (as mentioned in their employment contract), as well as their manager.
Start date next, then probation end date (this last one is optional).
Same for compensation (type of salary and work schedule).
For their Payroll ID, check the text just underneath which will detail what is the last payroll ID assigned, and add +1 to it.
6. Once you're done, click "Invite to join the team" β . This will send the new joiner an onboarding email so they can finalise setting up their account.

For this scenario, the process is exactly the same as onboarding a new joiner who will be on payroll.
